Set the default number format for a field

Right-click (control-click on Mac) the field in the Data pane and select Default Properties > Number Format.

The more precise values are still used in formulas that make calculations based on units of time.

  1. Select the cells or table you want to format.

  2. In the Format sidebar, click the Cell tab.

    • Display as many decimal places as you type in each cell: Delete the number in the Decimals field, or click the Decimals down arrow until you reach the Auto setting.

    • Specify how negative values appear: Click the pop-up menu to the right of the Decimals field and choose an option.

    • Show the thousands separator: Select the Thousands Separator checkbox.

    • Use accounting-style negative numbers: Select the Accounting Style checkbox to display negative values within parentheses.

  4. Click the Currency pop-up menu, then choose a currency symbol, such as US Dollar ($).

Percentages

By default, cells formatted as a percentage display as many decimal places as you type in them. You can change this setting so all cells display the same number of decimal places.

Changes to decimal settings apply to both percentages and numbers in a selected range of cells. For example, if you change the format of a cell from a percentage to a decimal, the number of decimal places displayed doesn’t change.

  1. Select the cells or table you want to format.

  2. In the Format sidebar, click the Cell tab.

  3. Click the Data Format pop-up menu, then choose Percentage.

  4. Do any of the following:

    • Set the number of decimal places: In the Decimals field, type the number of decimal places you want to display. Numbers rounds the display value instead of truncating the display value. For example, if the value in the cell is “5.75” and you set the number of decimal places for the cell to 0 (zero), Numbers displays “6.”

    • Display as many decimal places as you type in each cell: Delete the number in the Decimals field, or click the Decimals down arrow until you reach the Auto setting.

    • Specify how negative values appear: Choose an option from the pop-up menu to the right of the Decimals field.

    • Show the thousands separator: Select the Thousands Separator checkbox.

If you format a cell that already contains a value, the value is assumed to be a decimal, and it’s converted into a percentage. For example, 3 becomes 300%.

If a percentage value is used in a formula, its decimal number version is used. For example, a value that displays as 3% is used as 0.03 in a formula.

Date and time

Numbers automatically interprets text strings that you type in a recognized date format as dates (for example, 6/10/17).

  1. Select the cells or table you want to format.

  2. In the Format sidebar, click the Cell tab, then click the Data Format pop-up menu and choose Date & Time.

  3. Click the Date pop-up menu, then choose a format.

    If you choose None, no date is displayed in the cell, even if a date is entered and used in date and time calculations.

  4. Choose a format from the Time pop-up menu.

    If you choose None, no time is displayed in the cell, even if a time is entered and used in date and time calculations.

If you don’t enter both a date and a time, Numbers adds a default value for you. For example, if you type “1:15 PM,” Numbers adds today’s date by default.

The Smart Cell View at the bottom of the window shows you the actual value of both the date and the time for a selected cell, even if you choose to show only one in the table.

Durations (units of time)

By default, cells containing duration data are automatically formatted to display all the time units you enter. You can change this setting so duration cells display only certain units of time (for example, only hours, not minutes, seconds, or milliseconds), even if more precise duration values have been entered in the cell. The more precise values are still used in formulas that make calculations based on units of time.

  1. Select the cells or table you want to format.

  2. In the Format sidebar, click the Cell tab.

  3. Click the Data Format pop-up menu, then choose Duration.

  4. Do one of the following:

    • Show or hide time unit labels: Click Automatic Units, then click the Style pop-up menu and choose an option:

      • 0: Hides all time unit labels.

      • 0w: Displays time unit labels as abbreviations—for example, “m” for minutes.

      • 0 weeks: Displays time unit labels fully spelled out.

    • Display the same units in all duration cells: Click Custom Units, then click units on the right or left end of the range selector to encompass the time duration you want to use, from weeks (wk) to milliseconds (ms).

If you change the duration format after you enter data in the cells, the data automatically adjusts to the new duration format you set.

How to Change to Accounting Format in Excel

Excel will automatically convert numbers to the accounting format.

The accounting format in Microsoft Excel 2010 is very similar to the currency format---both display the currency symbol next to every number. But the accounting format has a few differences that make it easier to do accounting, such as showing zero values as dashes, aligning all the currency symbols and decimal places, and displaying negative amounts in parentheses.

Open the Excel 2010 file that you want to make format changes to.

Select the top-left cell in the range of cells that you want to change to the accounting format. Scroll the spreadsheet, using the scroll bars on the right and bottom edges of the spreadsheet, so that you can see the bottom-right cell of your desired range. Hold "Shift" and click this cell to select the entire range.

Right-click anywhere inside your selected range and choose "Format Cells" from the pop-up menu.

Click "Accounting" from the list on the left side of the window that appears. Choose your currency symbol from the drop-down menu in the middle of the window, and then use the up and down arrows to determine how many decimal places you want to show.

Click "OK" to close the window, and your selected range will now display numbers using the accounting format.

What is the format of the accounting number?

Formatting Numbers in Excel Using Shortcut Keys

Format Numbers in Excel

Number formatting in Excel changes the appearance of a number or value in a cell in the worksheet. Number formatting is attached to the cell and not to the value in the cell. Number formatting does not change the actual number in the cell, just the way it appears.

For example, select a cell that has been formatted for negative, special, or long numbers and the plain number rather than the formatted number displays in the formula bar above the worksheet.

There are several ways to change number formatting:

  • Shortcut keys on the keyboard.
  • Formatting icons on the ribbon.
  • The Format Cellsdialog box.

Number formatting can be applied to a single cell, entire columns or rows, a select range of cells, or an entire worksheet.

The default format for cells containing all data is the General style. This style has no specific format and, by default, displays numbers without dollar signs or commas. In the General style, mixed numbers (numbers containing a fractional component) are not limited to a specific number of decimal places.

Apply Number Formatting

The key combination to apply number formatting to data is Ctrl+Shift+! (exclamation point).

The formats applied to the selected number data using shortcut keys are:

  • Two decimal places.
  • The comma (,) as a thousands separator.

To apply number formatting to data using shortcut keys:

  1. Highlight the cells containing the data to be formatted.
  2. Press and hold Ctrl+Shift.
  3. Press the exclamation pointkey ( ! ).
  4. Release the Ctrl+Shift keys.
  5. The numbers in the selected cells are formatted with two decimal places and a comma separator.
  6. Select a cell to display the original unformatted number in the formula bar above the worksheet.

For numbers with more than two decimal places, only the first two decimal places are displayed. The remaining decimal places are not removed and are used in calculations involving these values.

Some commonly used number formats are available on the Home tab, as shown in the image above. But most number formats are located in the Number Format drop-down list.

To choose from the list of number formats:

  1. Highlight the cells of data to be formatted.
  2. Select the down arrow next to Number Format to open the drop-down list.
  3. Select Number to apply this option to the selected cells of data.

Numbers are formatted to two decimal places as with the keyboard shortcut above, but the comma separator is not used with this method.

All number formatting options are available in the Format Cells dialog box.

There are two options to open the dialog box:

  1. Select the dialog box launcher. It's small downward pointing arrow in the bottom right corner of the Number group.
  2. Press Ctrl+1.

Cell Formatting options in the dialog box are grouped together on tabbed lists with the number formats located under the Number tab. On this tab, the available formats are subdivided into categories in the left-hand window. When you select an option in the window, the attributes and a sample of that option display on the right.

When you select Number, there are several attributes that can be adjusted:

  • The number of decimal places to display.
  • The use of the comma separator for thousands.
  • The formats for negative numbers.

The currency format in the Format Cells dialog box is very similar to the number format, except for the option to choose a different currency symbol from the default dollar sign.

The Format Cells dialog box is opened one of two ways:

  1. Select the dialog box launcher. It's the small downward pointing arrow in the bottom right corner of the Number group.
  2. Press Ctrl+1.

In the dialog box, select Currency in the category list on the left-hand side to view or change the current settings.

Apply Percent Formatting

Ensure that data displayed in percent format is entered in decimal form. For example, 0.33 which, when formatted for percent, displays as 33%.

With the exception of the number 1, integers (numbers with no decimal portion) are not normally formatted for percent because the displayed values are increased by a factor of 100.

For example, when formatted for percent:

  • The number 1 displays as 100%.
  • The number 33 displays as 3300%.

Apply Percent Formatting Using Shortcut Keys

The key combination that can be used to apply number formatting to data is Ctrl+Shift+% (percent symbol).

The formats applied to the selected number data using shortcut keys are:

  • 0 decimal places.
  • The percent symbol is added.

To apply percent formatting to data using shortcut keys:

  1. Highlight the cells containing the data to be formatted.
  2. Press and hold the Ctrl+Shiftkeys.
  3. Press the percent symbol key ( % ).
  4. Release the Ctrl+Shift keys.
  5. The numbers in the selected cells are formatted to display the percent symbol.
  6. Select any formatted cell to display the original unformatted number in the formula bar above the worksheet.

Apply Percent Formatting Using Ribbon Options

Percent format can be applied to data using either Percent Style ( % ) located in the Number group on the Home tab, as shown in the image above, or by selecting Percentage from the Number Format drop-down list.

The only difference between the two is that Percent Style, like the keyboard shortcut above, displays zero decimal places while Percentage displays up to two decimal places. For example, as shown in the image above, the number 0.3256 is displayed as:

  • 33% when formatted using Percent Style.
  • 32.56% when formatted using Percentage. 

Numbers are formatted to two decimal places as with the keyboard shortcut above, but the comma separator is not used with this method.

Apply Percent Using Format Cells Dialog Box

Considering the number of steps required to access the percent format option in the Format Cells dialog box, there are very few times when this choice needs to be used instead of one of the methods mentioned above.

The only reason for choosing to use this option would be to alter the number of decimal places displayed with numbers formatted for percent. In the dialog box, the number of decimal places displayed can be set from zero to 30.

Choose one of these methods to open the Format Cells dialog:

  1. Select the dialog box launcher. It's the small downward pointing arrow in the bottom right corner of the Number group.
  2. Press Ctrl+1.

  2. @Healthy and Loving Life I believe Wells Fargo got caught doing that (could have been a different bank or other banks and W.F.) They would purposely rearrange the order in which credits and debits were recorded as transactions to create overdraft fees. Paying large debits out and recording small deposits before larger ones to create the negative balances. Whichever bank(s) it was/were got caught and paid a "slap on wrist" fine as usual.
